This section will be updated during the season as questions arise. Please check here first for the answers to your questions. NOTE:Information below may have been summarized, rephrased to suit this FAQ section, or updated based on current season conditions and questions to aid in the information disclosure. Refer to the 2021 Operating Code for the approved Carolina Region policies and procedures. If there are any discrepancies not accounted for by in-season adjustments (i.e. for weather cancellations, etc), the 2021 Operating Code will be the final text for all policies.

Registration Questions:

With the change to the new Member Management System (MMS) hosted by SportsEngine, members will no longer have a standard “membership card” that can be easily printed.  We are now transitioning to a “Digital” membership card.  Members will be able to save their “card” to a Digital Wallet, like Apple Wallet or Google Pay.  When their “card” is accessed from this source, members can show a QR code where a Club or Tournament Director can pull up the member’s verified status and information “on-demand”.  To access – log in to your SportsEngine account; go to the “Household” section.  Click the user profile of the member.  The “Carolina Regional Volleyball” box for that person has an icon at top right that the member can click to add it to either Apple Wallet or Google Pay.  See the image below for a sample picture of what this looks like inside the SE Household account:

The one-event memberships (both one-day and multi-day) are commonly used for tryouts and as an “emergency” player at a tournament.  A member is limited to TWO one-event memberships per indoor season https://ed-hrvatski.com.  If the player wishes to join as a member for the rest of the season, then the member (or parent/guardian for junior members) should log back in to their member account and click to RENEW the membership.  The system will show a one-event UPGRADE option.  That is the choice the member should select.  That will upgrade the member for the entire season and it event gives credit for the one-event member fees already paid (once).

YES!  With the move to a new Member Management System, hosted by SportsEngine, families will have the ability to have one account (one login) for all the members of their Household.  The Master account MUST be held by an adult/parent/guardian 18 or over.  Once that account is created, when a membership link is selected from the Region’s Registration page, it will ask who the membership is for.  At that point, the master account can choose either for the master account or someone else.  If the Household account had not been created yet, you’ll be able to create a new person in the Household at that point.  NOTE – the Master Account does not have to purchase a membership in order for other members of the household to have memberships.  For more information on the Family Accounts, go here.

A one-event (or multi-day, one event) is only valid for a specific day(s). Once we receive the payment for the membership and process it in the online system, your status will move to “pending” (from “unpaid”). On the day you chose for the membership to be valid, your status will move to “current”. After that day(s), the status goes back to “lapsed”. So, the “pending” status just tells you that we have processed your payment and that you will be a current member on the day(s) you chose to participate as a one-event.

Yes! We have a one-event membership category. For one-day tournaments the fee is $5. For multi-day tournaments (Quest, City of Oaks, Queen City, MAPL Raleigh. Jr Hi Neighbor) the one-event fee is $10 (due to higher insurance costs with multi-day events). The registration requirements for one-event are same as for regular memberships.  Register online (or fill out current Carolina Region membership form), check the one-event box, list the tournament date(s) playing, and send in with proper fee so we RECEIVE at least one-week before the event. You can also register one-event as late as Thursday before the event with a $5 late fee. Individuals may only participate as a one-event member TWICE during the indoor season. If that individual wants to continue to participate in sanctioned events, they may apply for a one-event UPGRADE membership through the online system at the applicable membership fee at the time of the upgrade.

The Region will maintain a list of Unaffiliated Adult members on our website (full members only). Adult players can register with the Region (at regular fees) as unaffiliated. Adult teams in need of a player for a specific tournament can consult the list and contact players to pick up for that specific tournament. Unaffiliated players may play in THREE tournaments (with three different teams if it works out that way) while they are on the unaffiliated player list. After the THIRD tournament played, the player may choose which team they wish to register for the remainder of the season. Players must be listed on the roster of the team at the tournament as UNAFFILIATED PLAYER LIST. If interested in being on this list, register with the region (membership form and fee) and write “unaffiliated list” in the team name box. Contact the Region Office if you have more questions.

With the move to a new Membership Management System (MMS), your Carolina Region/USA Volleyball membership number will look different than in the past.  USAV is only using the Contact ID number as the Membership number.  This number was the 7 digit number inside the old USAV membership number.  The Contact ID for renewing members have been brought over to the new system as long as the member used the same name and birthdate that was in the old system (if not, contact the region and we can migrate the old information over manually). An example of what your Information will look like in your SE account profile is shown below (the member number is “111111” below):

With the change to the new Member Management System, the process of selecting a club in the USAV database has changed.  Members do not choose it inside their member accounts now like under the old system.  The new system has the CLUBS sending out an invitation to affiliate with their club for the next USA Volleyball season.  You may actually get two invitations – one to join their Directory for communication purposes (joining the Directory does NOT affiliate the player for the season – it just allows the club to communicate with the player) and then a second to affiliate for the next USAV season (this is binding and should only be accepted if you are sure you want to be with this club the entire USAV season).  You’ll need to accept both invitations to become affiliated.  You may receive invitations from multiple clubs (especially if trying out for more than one club).  That is normal and you would just ignore the invitations from the clubs you do not want to affiliate with, and accept the invite of the one you will participate with.  Currently the invites come as emails to the Account Holder.  SportsEngine is working on improving the process to allow the invites to show inside the Membership account.  The member will then be able to approve or decline from within their account.  This is scheduled to be available by end of October.  For more on this process, go here.

With the change to the new Member Management System, the process of selecting a club in the USAV database has changed.  Members do not choose it inside their member accounts now like under the old system.  The new system has the CLUBS sending out an invitation to affiliate with their club for the next USA Volleyball season.  You may actually get two invitations – one to join their Directory for communication purposes (joining the Directory does NOT affiliate the player for the season – it just allows the club to communicate with the player) and then a second to affiliate for the next USAV season (this is binding and should only be accepted if you are sure you want to be with this club the entire USAV season).  You’ll need to accept both invitations to become affiliated.  You may receive invitations from multiple clubs (especially if trying out for more than one club).  That is normal and you would just ignore the invitations from the clubs you do not want to affiliate with, and accept the invite of the one you will participate with.  Currently the invites come as emails to the Account Holder.  SportsEngine is working on improving the process to allow the invites to show inside the Membership account.  The member will then be able to approve or decline from within their account.  This is scheduled to be available by end of October.  For more on this process, go here.

With the change to the new Member Management System (MMS) hosted by SportsEngine, members will no longer have a standard “membership card” that can be easily printed.  We are now transitioning to a “Digital” membership card.  Members will be able to save their “card” to a Digital Wallet, like Apple Wallet or Google Pay.  When their “card” is accessed from this source, members can show a QR code where a Club or Tournament Director can pull up the member’s verified status and information “on-demand”.  To access – log in to your SportsEngine account; go to the “Household” section.  Click the user profile of the member.  The “Carolina Regional Volleyball” box for that person has an icon at top right that the member can click to add it to either Apple Wallet or Google Pay.  See the image below for a sample picture of what this looks like inside the SE Household account:

The one-event memberships (both one-day and multi-day) are commonly used for tryouts and as an “emergency” player at a tournament.  A member is limited to TWO one-event memberships per indoor season https://ed-hrvatski.com.  If the player wishes to join as a member for the rest of the season, then the member (or parent/guardian for junior members) should log back in to their member account and click to RENEW the membership.  The system will show a one-event UPGRADE option.  That is the choice the member should select.  That will upgrade the member for the entire season and it event gives credit for the one-event member fees already paid (once).

YES!  With the move to a new Member Management System, hosted by SportsEngine, families will have the ability to have one account (one login) for all the members of their Household.  The Master account MUST be held by an adult/parent/guardian 18 or over.  Once that account is created, when a membership link is selected from the Region’s Registration page, it will ask who the membership is for.  At that point, the master account can choose either for the master account or someone else.  If the Household account had not been created yet, you’ll be able to create a new person in the Household at that point.  NOTE – the Master Account does not have to purchase a membership in order for other members of the household to have memberships.  For more information on the Family Accounts, go here.

A one-event (or multi-day, one event) is only valid for a specific day(s). Once we receive the payment for the membership and process it in the online system, your status will move to “pending” (from “unpaid”). On the day you chose for the membership to be valid, your status will move to “current”. After that day(s), the status goes back to “lapsed”. So, the “pending” status just tells you that we have processed your payment and that you will be a current member on the day(s) you chose to participate as a one-event.

The registration requirements for one-event are same as for regular memberships.  Register online (or fill out current Carolina Region membership form), check the one-event box, list the tournament date(s) playing, and send in with proper fee so we RECEIVE at least one-week before the event. You can also register one-event as late as Thursday before the event with a $5 late fee. Individuals may only participate as a one-event member TWICE during the indoor season. If that individual wants to continue to participate in sanctioned events, they may apply for a one-event UPGRADE membership through the online system at the applicable membership fee at the time of the upgrade.

The Region will maintain a list of Unaffiliated Adult members on our website (full members only). Adult players can register with the Region (at regular fees) as unaffiliated. Adult teams in need of a player for a specific tournament can consult the list and contact players to pick up for that specific tournament. Unaffiliated players may play in THREE tournaments (with three different teams if it works out that way) while they are on the unaffiliated player list. After the THIRD tournament played, the player may choose which team they wish to register for the remainder of the season. Players must be listed on the roster of the team at the tournament as UNAFFILIATED PLAYER LIST. If interested in being on this list, register with the region (membership form and fee) and write “unaffiliated list” in the team name box. Contact the Region Office if you have more questions.
