Online Registration Additional InformationDear Club Directors, Team Reps, Officials, Members: It's here! On-Line registration. USA Volleyball launched their new database system on November 1, 2004. The Carolina Region was a beta-test Region for the system that season. We began using the system exclusively in 2005/2006.
Here is some information you need to know: 2. For Juniors especially, we're hoping everyone will register online now and then we can sanction tryouts for the clubs that want their tryouts sanctioned (as all their participants will already be members!). Once the clubs select their teams, they can fill out the Team Registration form (at Forms section online) and send in with the team fee and the Region will assign the players to the rosters (or members can log in and update from UNDECIDED to their new club - they may only do this ONCE). Once members are assigned to a club, Club Administrators will be able to assign players to teams initially if they wish (once assigned a player can not be moved except by the Region) or the Region will assign the rosters when team registration forms are submitted. 3. The information for any person that was registered each of the past six seasons should already be in the database so if you were a member of the Region last year, click on the "Forgot Password" or "Request a Log-in" (if you moved from another Region that was NOT part of the USAV online system) link to search for your information. All individuals are encouraged to download and read the appropriate online registration instructions sheet under the Instructions tab on the RED menu of our online registration start page. There are instructions for new members (adult or junior), renewing members (adult or junior), new officials or adults affiliating with Junior teams, and renewing officials or adults affiliating with Junior teams. If you still have problems or questions after reading the applicable instruction sheet, contact the Region office at office@CarolinaRegionVB.org. 4. Club Administrators are no longer allowed to enter any other person's application! Since the process is entirely electronic this season, only a parent/guardian can affirm that they have read the waiver and consent form on behalf of the minor. Clubs that are discovered to violate this requirement will be subject to sanction by the region including suspension of memberships. 5. Even though the online application is entirely electronic this season, we still need full payment of the membership dues before an individual receives a confirmation as a member of the Region. An applicant can pay with a credit card during the process this season! A check may also be mailed to the Region (put name and birthdate of member in the memo field) or a PayPal payment may be submitted by following the online payment link at left (credit cards are accepted by PayPal and you do not have to register with PayPal to submit a payment). 6. Additional Forms: All adults affiliating with a junior club will need to submit a Junior Club Personnel Code of Ethics form before they are eligible to be placed on a roster. This can be submitted online this season (preferred) during the application process (or by logging back in to your member account and choosing applicable link in menu) OR they can complete and sign the paper form and return to the Region. IF applying online, the background screening form will be submitted electronically for all adults wanting to affiliate with a Junior team and all Officials working Juniors tournamments (if applicable - if you were screened last season it is good for this season also. The system should check to see if you need a background screen and ask for all the appropriate details. The background screen fee is $17.50 this season.). Officials will also need to sign and submit an Independent Contractor Agreement. JUNIORS - Do not send in the medical release form to the Region. This is given to your clubs-the Region does not need it (except those chosen for HP travel teams and then we will gather it from those players directly). 7. NO ONE will actually be registered until all applicable fees and paperwork are received by the office. Their status will be listed as "Unpaid" until we receive the payment and any other required forms. You cannot be assigned to a team for the 2011 season until your status is "CURRENT". 8. Final NOTE - this is an INDIVIDUAL based system. It will ask you what club/team you are playing with. If you already know your team/club then you can select it in the application stage. If you do not know the club/team you're playing with, then leave it as UNDECIDED (you may update it ONCE or we will assign you to your appropriate club/team later). Club Administrators - if you are a new club not in the system or need to change your club name, contact the Region Office as soon as you can and we'll update the system so all the players will see the new information when they apply. The system will only allow one Club Administrator per club. If you need to update who your club administrator will be, contact the Region Office. NOTE: Even if you will only be one unaffiliated team, you will need to go into the system as a club. You can use your teamname as the club name and then we will create your one team in that club. Because the system does not ask the individual what team they are participating with, it is IMPORTANT that clubs submit their Team Applications with their players on it. All registration deadlines still apply - teams and individuals must be fully registered ("current" in the system) at least one week before participating in a sanctioned event (or as late as Thursday before with late fees). Since this is a project still in development and new features have been added, we know there will still be a few problems that need to be worked out.
