Meeting Started - 7:30 pm

1. Approval of October 18 Minutes: Motion by Karl, second by Susie to:

Motion 1: MSA Accept the minutes from the October 18, 1998 BOD meeting. 11-0

2 & 3. Treasurers Report:
Audit - CPA is preparing 1994 990 and 1998 information has been submitted to them so will be on time. We're appealing 1997 penalty.

4. Membership Update:
70 total adult teams (29 M, 41 F) so far. Female teams about same as last year, Male teams are down. Looks like juniors will grow again over last year. Adult division will investigate where losses are occurring.

5. Employee Health and Retirement Programs update:
Celtic returned second check we had submitted because they don't accept business checks. Kevin has submitted personal check and will wait to hear back from them. Retirement program is next on CPA's to-do list.

6. Directors & Officers Insurance:
Dan is investigating quotes and has received information from ESIX's USAV coverage.

7. Teams registering outside the Region:
Problem with Palmetto Region where Charlotte teams are registering with them. Their Commissioner has been unwilling to negotiate a settlement to problem. Our next step is to go to ROD Vice -President and register complaint. Chuck will handle from here with ROD.

8. Adult Seeding Tournaments:
How are we interpreting results? Assigning teams to divisions? First thought is to have 3 divisions - Gold, Silver, Bronze and assigning the individual teams a National division. Adults breakout - the adult division focused on division and seeding issues. The major topics were how many playing divisions were needed for men and women, what playoff formats to use, and how to seed teams into divisions based on the results of the December seeding tournaments.

The working plan is to use Gold, Silver, and Bronze divisions for in-Region play and to assign National divisions (AA, A, BB, B) for out-of-Region play, including the Hi Neighbor and the National Championships.

9. Atlantic Zone AA Tournament:
Chesapeake Region will be hosting the Championships. Trying to get Univ. of Maryland. When information is known, our web site will be updated.

10. USA Mixed Six Championships:
In Reno, Nevada. March 24-27, $500 entry fee AA/A, BB/B

11. Age waiver:
Petition came in from Raleigh Club to allow a 16's player to play with 15's team in Region. The Junior Division felt that the criteria to allow a waiver were not met as this is not a development situation and the opportunity exists for the player to play with 2 other 16's teams in the same club. Motion by Karl, second by Marilyn:

Motion 2: MSA To deny age waiver petition from Capitol City Club. 8-0-3

12. Officiating clinics - registration, limits, clinicians, formats, cards:
Officials division is working on modifying clinic structure to reduce time spent in clinics, test requirements, setting dates and sites earlier, and registration limits. Ray, Wayne, and Charlie will be working together to bring forth proposal on new clinic structures.

13. Alternate Tournament Formats - Tabled.

14. Reimburse policy for hotel - distance to meeting:
Dan has a proposal that he will forward to board for consideration on amending current policy. We will decide the issue at the January meeting.

15. National Meetings in May update:
Chuck, Ray, Jeff, Kevin and Amber have tickets to San Jose already. Boger is checking his schedule to confirm availability.

16. Other Business:
Marketing - Karl will be working on a marketing plan and recruit others to help him with it.

17. Next Meeting - January 23, 1999 Finley Forest Clubhouse, Chapel Hill at 7:30 pm.

From Greensboro and points west:
From I-40 E, take the NC-54 exit, EXIT 273. Turn right onto 54. Go appr. 1.6 miles to second light. Turn LEFT onto BARBEE CHAPEL ROAD (Citgo Station is on left at this intersection). Go appr. 0.2 miles; take first RIGHT into FINLEY FOREST. Clubhouse is immediately on right.

From Raleigh and points east:
From I-40 W, take the NC-54 WEST exit, exit number 273B, towards CHAPEL HILL. Merge onto 54 and follow directions above.
